Attendance Letters and Lists
Attendance letters are controlled by the student's Details information. The index tab, Misc, items 13 through 16 for Share Time schools and 14 through 16 for Academies contain a flag indicating if a 5, 10, 15 or 20 day letter has been sent for that student After sending a letter, that students flag must be set to Yes or a second letter will be printed in the next go-round.
PRINTING ATTENDANCE LETTERS - Student letters
- Open the Attendance Module
- Select Recalculate Totals from the Attendance menu
- Select output device (screen or printer)
- Select Custom Templates... from the Reports menu
- Double click the appropriate Letter template. (a blank page means no students fit that category)
- Cycle through steps 4 and 5 untill all Letters have been printed
- After printing the letters, close the Attendance Module
- Open the Details Module and flag students with letters sent.
- Double click on each student receiving a letter
- Open the student's Misc index tab
- Change the appropriate Letter Sent item to Yes
PRINTING ATTENDANCE LISTS - List of students having attendance problems
- Open the Attendance Module
- Select Recalculate Totals from the Attendance menu
- Select output device (screen or printer)
- Select Custom Templates... from the Reports menu
- Double click the appropriate List template. (a blank page means no students fit that category)
- Cycle through steps 4 and 5 untill all Lists have been printed
NOTE: The Recalculate Totals step only needs to be run once after taking the attendance
